This Privacy Policy explains what information Aven Career Finder ("Aven", "we", "us") collects, why, and how it's handled. Aven has no sign-up or login system — this policy covers the information we collect directly from the quiz flow.
1. Information we collect
- Contact details: name, email address, and phone number, collected before you start the quiz.
- Quiz responses: your answers to the Career Finder's personality questions and AI-generated simulation scenarios, and/or the Stream Finder's academic-interest questions, depending on which tool you use.
- Generated results: your 4-letter personality type and 20-career report from the Career Finder, and/or your recommended academic stream and subject combination from the Stream Finder.
- Location data — IP-based (always collected): at the moment you submit the contact form, we automatically resolve your IP address to your approximate country, state/region, city, postal/PIN code, latitude and longitude, and time zone, using third-party IP-geolocation lookup services. This happens entirely on our server — it is not an editable field, and it is not something you type in or can change. We use it to make your career suggestions more locally relevant (for example, surfacing government-exam or region-specific careers where appropriate) and to understand our audience.
- Location data — precise/GPS-based (only if you grant permission): when you land on the quiz page, your browser may show its own native prompt asking permission to share your device's precise location (via GPS, Wi-Fi, or cell positioning). If you allow it, we capture your coordinates and use a free reverse-geocoding lookup to resolve your city, state, country, and postal code, along with your device's time zone, and store this alongside the IP-based location above. This, too, is never a field you type into — it is entirely driven by your browser's own permission prompt, and if you deny or ignore that prompt, we simply proceed using the IP-based location instead. You can revoke this permission at any time in your browser's site settings.
- Device & technical data: your IP address, internet service provider, device type (mobile/tablet/desktop), operating system, browser, browser user-agent string, and timestamps — collected automatically for security, anti-abuse, and analytics purposes.
- Email verification data (if enabled): a temporary one-time code sent to confirm your email address. We store a hashed (not plain-text) version of the code with a short expiry — never the code itself — plus a record of whether/when your email was verified.
- Report retrieval codes: if you use the "Get my report back" page to look up a previous report by email, we always send a one-time access code to that email to confirm you own the inbox before showing any results — this applies regardless of whether email verification is otherwise enabled on the site, since it's a core protection against someone else looking up your report.
- Payment data (Premium Career Suite only): if you purchase the optional Premium Career Suite, PayPal processes your payment directly — we never see or store your card or PayPal account details. We keep a record of the transaction ID, amount, and purchase timestamp for bookkeeping and support purposes.
- Site analytics: basic, aggregate traffic data (page visited, referring page, device type, approximate timestamp) collected as you browse the site, to help us understand usage and improve it.
- Abuse reports & contact messages: if you use our Report Abuse or Contact Us forms, we store what you submit (and your email, if provided) so we can review and respond.
2. How we use your information
- To generate and show you your personality type and career-match results, tailored to your region where relevant.
- To let our team review submissions through an internal, password-protected admin dashboard.
- To contact you about your results, or with relevant opportunities, if you've consented.
- To detect and prevent abuse of the service (e.g. spam submissions, automated bot traffic, fraud).
- To improve the quiz content, AI prompts, and regional career recommendations over time.
3. How your data is processed by AI
To generate your simulation scenarios and career report, your personality type, dichotomy scores, scenario answers, and general country/region (not your precise coordinates, name, email, or phone number) are sent to a third-party AI processing partner, so results can be culturally and regionally relevant. We don't publicly name our AI infrastructure providers, as this is considered proprietary to our service, but our data-handling commitments in this policy apply regardless of which partner is in use.
3a. Third-party geolocation providers
To resolve your IP address into location details, we query third-party IP-geolocation APIs (such as ip-api.com, ipwho.is, and ipapi.co) at submission time. We send only your IP address to these providers — never your name, email, or phone number. If one provider is unavailable, we automatically try the next, so this lookup does not block you from starting the quiz even if a provider is temporarily down. If you grant your browser's location permission, your device sends its coordinates directly to a free reverse-geocoding service (BigDataCloud's client-side API) to resolve them into a city/state/country — again, only the coordinates are sent, never your name, email, or phone number.
3b. Payment & email delivery providers
If you purchase the Premium Career Suite, your payment is processed entirely by PayPal under PayPal's own privacy policy and terms — we never receive or store your full card or PayPal account details, only a transaction reference. If email verification is enabled, we send your one-time code via a standard email delivery (SMTP) connection to the mail provider configured by the site administrator; the code passes through that provider's infrastructure like any other email.
4. Where your data is stored
Your contact details and quiz results are stored on our own servers in a structured data file, accessible only to authorized administrators through a password-protected admin panel. We do not sell your data to third parties.
5. Data retention
We retain your information for as long as reasonably necessary to fulfill the purposes described above, or until you request deletion (see below).
6. Your rights
Depending on where you live, you may have the right to access, correct, or request deletion of your personal data. To exercise these rights, contact us using the details on our site with the email address you used when taking the quiz, and we'll act on verified requests within a reasonable timeframe.
7. Cookies & analytics
Aven uses a single functional cookie to remember your quiz session (so you don't lose progress on refresh) and, for administrators, a session cookie to stay logged into the admin dashboard. We also log basic, aggregate page-visit analytics (page, referrer, device type, approximate timestamp) directly to our own server — not via a third-party advertising or tracking cookie, and not tied to your name or email unless you've also submitted the lead form in the same session.
8. Children's privacy
Aven is not directed at children under 13. We don't knowingly collect personal information from children under 13.
9. Security
We use reasonable technical and organizational measures — including access-restricted storage and admin authentication — to protect your information. No method of transmission or storage is 100% secure, but we work to protect your data appropriately.
10. Changes to this policy
We may update this Privacy Policy occasionally. The "last updated" date at the top reflects the most recent revision.
